Job Title: Leave of Absence Coordinator
Pay: $21/Hr.
Hours: Monday to Friday, 8:00 AM to 5:00 PM
Start Date: ASAP 

We are seeking a Leave of Absence Coordinator for a long-term temp, possible temp-to-hire position for our client, a well-established company located in Scarborough, ME. The LOA Coordinator will coordinate and administer activities and duties related to associate leaves to ensure compliance with company policies and federal/state leave regulations. The LOA Coordinator will provide instruction, guidance, and customer support to associates, managers, and HR on all matters related to leave of absence. This is a long-term temporary position located in Scarborough, ME—in-office only.

As a Leave of Absence Coordinator, you will be responsible for:

  • Coordinating and administering activities related to associate leaves, ensuring compliance with company policies and federal/state regulations.

  • Managing case load, communicating with associates about their leave needs, and ensuring they understand their responsibilities and required documentation.

  • Effectively coordinating FMLA leave administration, from the initial notice to the return to work, including gathering required paperwork and determining eligibility.

  • Reviewing clinical documentation and making determinations to approve or deny medical leave requests.

  • Maintaining communication with employees on leave to facilitate a smooth return to work and relaying messages between employees and managers.

  • Coordinating accommodation requests and ensuring associates return to work in a timely and efficient manner.

  • Supporting HR/AR business partners with accommodation requests under ADA, including return-to-work processes.

  • Coordinating with payroll to ensure accurate and timely payments for associates on leave.

  • Ensuring all disability management programs are integrated and that benefits are provided in a timely manner.

  • Documenting all correspondence and interactions related to leave cases and tracking progress in the leave administration system.

  • Maintaining knowledge of applicable leave and accommodation laws, including FMLA, ADA, and state/local regulations.

  • Preserving confidentiality of associate medical documentation.


The ideal candidate for this role will have:

  • Education: Bachelor’s degree or equivalent combination of education and experience.

  • Experience: 1-3 years’ experience in HR/Benefits-related positions (leave of absence management, disability management, ADA case management, or workers' compensation).

  • Skills: Strong customer service, attention to detail, problem-solving, and the ability to multitask.

  • Personal Characteristics: Self-directed, team-oriented, creative, and able to work independently.

  • Certifications: Not required but a bonus.

  • Physical Abilities: Ability to work in a fast-paced environment and manage multiple systems.
