Job Title: Accounts Payable Specialist
Pay: $23–$28 per hour
Hours: 8:00 a.m. to 4:30 p.m., Monday through Friday (Occasional night or overnight meetings may be required)
Start Date: December 1, 2026

In this vital role, you’ll manage accounts payable operations, ensuring accuracy, compliance, and efficiency within the organization.

What You’ll Do:
As an Accounts Payable Specialist, you will be responsible for:
  • Overseeing all accounts payable operations, processing batches into the accounting system, and ensuring that supporting documentation is complete and properly filed.
  • Leading efforts to enhance accounts payable systems and improve processes in collaboration with agency staff.
  • Developing and implementing electronic workflows for accounts payable and finance in partnership with departments.
  • Providing guidance and training to finance staff and departments on accounts payable procedures.
  • Ensuring compliance with applicable rules, regulations, and financial standards.
  • Collaborating with finance leadership to address urgent financial situations and adapt processes as needed.
  • Evaluating procedures to improve efficiency and identify opportunities for cost savings.
  • Managing invoice terms with vendors to optimize cash flow.
  • Analyzing aged accounts payable, reconciling general ledger accounts monthly, and reporting findings to finance leadership.
  • Maintaining and updating the vendor database.
  • Ensuring timely and accurate cash disbursements across all checking accounts.
  • Responding to vendor inquiries and calls.
  • Assisting with audits, fiscal year-end activities, and required financial reporting.
  • Administering third-party accounts payable and fund accounting systems, including user management and system upgrades.
  • Preparing and tracking per diem payments and gift card activity in accordance with policy.
  • Preparing and filing annual 1099s and unclaimed property reports.
  • Performing additional duties as assigned.

What You’ll Bring:
The ideal candidate for this role will have:
  • An Associate’s Degree in Accounting or Business Administration preferred (or equivalent experience).
  • Two to five years of accounts payable or related accounting experience; nonprofit accounting experience preferred.
  • Strong computer skills, especially in Microsoft Excel; proficiency with accounting and accounts payable software.
  • Excellent attention to detail, accountability, organization, and the ability to manage priorities in a fast-paced environment.
