Job Title: Administrative Assistant
Pay: $23.00–$25.00 per hour (Depending on Experience)
Hours: Full-Time, Monday–Friday (Flexible start times available: 7:00 AM – 4:00 PM, 7:30 AM – 4:00 PM, or 7:00 AM – 3:30 PM)
Start Date: ASAP (following client onboarding process)

In this critical support role, you will help ensure smooth-office operations while providing excellent service to both customers and internal teams.
As an Administrative Assistant, you’ll play a vital part in maintaining efficient office workflows and delivering professional support. You will:
- Answer and professionally route incoming phone calls, ensuring excellent customer communication
- Receive, sort, and distribute daily mail and correspondence
- Apply and review customer payments in BuildOps (training provided) to support accurate financial processing
- File and maintain invoices, documentation, and records for easy retrieval and compliance
- Scan checks and prepare them for deposit processing
- Order office supplies to maintain a well-stocked workspace
- Assist with customer invoice requests, follow-up tasks, and billing inquiries
- Coordinate effectively with Sales and internal staff to support service activities
- Provide general administrative and clerical support to keep the office running smoothly
What You’ll Bring:
- Previous experience in administrative support, office assistance, or customer service roles
- Strong phone presence and professional communication skills
- Excellent attention to detail and organizational skills
- Ability to work independently within a structured office environment
- Basic computer proficiency, with the ability to quickly learn new systems and software
- Reliable attendance, a strong work ethic, and a positive attitude
Nice to Have:
- Exposure to QuickBooks or similar accounting software
- Experience with applying payments or handling invoices
- Background in a small office or service-oriented industry
