Job Title: Administrative Assistant
Pay: $20 - $22 per hour
Hours: 8:00 AM - 4:30 PM (Monday to Friday); 8:00 AM - 3:00 PM (Friday)
Start Date: Can start as soon as Monday the 20th

As an Administrative Assistant, you'll play a vital role in supporting daily operations, ensuring smooth communication, and maintaining organizational flow. You will work closely with managers and team members to handle administrative duties that keep the office running efficiently.
What You'll Do
As an Administrative Assistant, you will be responsible for:
- Greeting visitors and answering incoming calls to create a positive first impression for walk-in clients and callers.
- Receiving and processing invoices via mail and email, then distributing them for coding to the Project Manager.
- Data entry into Sage 300 CRE accounting system—training provided, no prior Sage experience required.
- Managing vendor lien waivers, scanning and extracting electronic files, and tracking vendor insurance information.
- Ordering office supplies and coordinating daily visits to the Post Office and Bank using your reliable vehicle (mileage reimbursement provided).
- Maintaining organized records and assisting in administrative projects assigned by management.
- Supporting special administrative tasks for managers and team members as needed.
What You'll Bring
The ideal candidate will possess:
- A high school diploma or equivalent; Associate degree or comparable experience is a plus.
- Proven experience with office skills, email communication, and data entry.
- Strong proficiency in Microsoft Office Suite, especially Word and Excel, with intermediate Excel skills preferred.
- Excellent organizational skills with keen attention to detail and the ability to multi-task effectively.
- A friendly, people-oriented attitude to handle calls, walk-ins, and teamwork gracefully.
- Dependability with a valid driver’s license and reliable vehicle for daily errands.
- Ability to work independently and collaboratively in a small office environment.
- Flexibility to work additional hours if necessary.

Location & Schedule
