Job Title: Project Coordinator – Construction/Restoration Experience Required
Pay: $22–$25/hour or more (depending on experience in construction or restoration)
Hours: Monday–Friday, 7:00 a.m.–4:00 p.m. or 8:00 a.m.–5:00 p.m.

As a Project Coordinator, you’ll play a key role in supporting the Project Management team, ensuring smooth workflow, accurate documentation, and strong communication across multiple active construction and restoration projects. You’ll work closely with Project Managers, subcontractors, and field teams to keep projects moving efficiently and on schedule.

What You’ll Do:
As a Project Coordinator, you will:

  • Support Project Managers by preparing and managing construction documents including contracts, permits, RFIs, submittals, change orders, and closeout packages.

  • Maintain and update project schedules, deadlines, and all critical documentation.

  • Prepare estimates, submit proposals to clients or adjusters, and complete follow-ups on pending sales.

  • Coordinate active projects by scheduling work, obtaining authorizations, collecting deposits, and updating the master calendar.

  • Upload estimates, budgets, scopes, and documents into DASH and update job statuses.

  • Order equipment, materials, and dumpsters as needed.

  • Review job documentation daily and communicate missing information to Project Managers.

  • Track budgets and actuals, identify variances, and provide timely updates to PMs and management.

  • Facilitate communication between office staff, field technicians, subcontractors, and clients.

  • Complete closeout activities, including obtaining Certificates of Satisfaction, preparing closeout documents, and notifying accounting for billing.

What You’ll Bring:
The ideal candidate will have:

  • Education: High school diploma or equivalent required; Associate’s or Bachelor’s preferred.

  • Experience: 1–3+ years of administrative experience within construction, restoration, engineering, or other project-based industries.

  • Strong organizational skills and the ability to manage multiple priorities accurately.

  • A confident, professional communication style (“a little backbone”).

  • Strong verbal and written communication skills.

  • Ability to work independently while supporting multiple Project Managers.

  • Proficiency with Microsoft Office; experience with construction software (Procore, Viewpoint, Bluebeam, Xactimate, DASH) is a plus.

This position is on-site in Windham, Maine and follows a Monday–Friday schedule (7:00–4:00 or 8:00–5:00).
